Job Description:
Description Position Summary Receptionist will participate in
managing the front desk operations while maintaining a professional
demeanor and supporting administrative functions in the front
office of the Housing Building. The Receptionist will answer
phones, greet visitors, accept payments in person and by phone
during business hours. Must be motivated and a team player.
Principal Duties and Responsibilities Answer phones calls and
direct inquiries to appropriate personnel. Utilize the Intact
system for payables and check request as needed. Greet vendors,
Tribal members, and other individuals doing business for the Tribe
and direct them to the appropriate departments. Adheres to all
personal policies and procedures. Assist with scheduling meetings
and managing office supplies Preparing documents for meetings
Filing, faxing, copying, sorting mail, scanning, filing, record
keeping, and data entry. Perform bookkeeping , collect housing
payments, and follow processing procedures. Serves as backup
support for other housing personnel as needed. Intake of all
housing applications, responding to incomplete ones and scheduling
appointments with all vendors. Process any work orders and contact
vendor as needed Process mail through mailers/postage machine. Post
Tribal events on building and electronic displays. Maintain and
schedule Tribal functions. Take any cash or payments to finance.
Pick up packages and mail from administrative building. Maintaining
confidentiality and accurate records. Assisting with tenant
services, application assistance as needed. Maintains and updates
various spreadsheets for housing funding. Interviewing and
screening potential housing applicants Providing information and
referrals to clients about community resources. Maintain Petty cash
and cash petty cash checks, send receipts for reimbursement to
finance. (Director to review cash in box weekly) Other duties as
assigned. Qualifications REQUIRED EDUCATION / CERTIFICATIONS: High
school/GED or equivalent experience. EXPERIENCE / QUALIFICATIONS /
SKILLS Must have 3 years of experience in an Administrative
Receptionist role. Ability to read and comprehend simple
instructions, short correspondence, and memos. Proficient with
Microsoft Word, Excel, and PowerPoint. Knowledge of Access.
Knowledge of Housing regulations (preferred). Strong communication
skills. Excellent customer service skills. Ability to maintain a
positive attitude when dealing with difficult situations. Maintain
confidential and high ethical standards. Ability to handle multiple
tasks efficiently. Note: Nothing in this job description restricts
